Product Open House From Superior Fabrication

This event is the largest by far I have ever planned, I did not have a budget but the total costs were near $30,000, for just this particular leg of this event. Which also included a Golf Meeting the day afterward. This event was a Product Open House, featuring a brand new product called Thermoduct newly produced by Superior Duct Fabrication. As a brand new product it was crucial to showcase examples, presentations, and demonstrations.

 

This event had over 500 guests and lasted over seven hours, with multiple tours of the facilities and presentations over the course of the day. A light breakfast as well as a much larger BBQ lunch was provided to guests. 

 

This event had many different components. I designed both the original Evite, and the formal paper invitation. I also managed the large guest list. 

 

I became very involved in understanding the product having in depth conversations with the sales director and designer of the parent company in order to fully understand the event.

 

I created all the pamphlets and other literature for the gift bags. These gift bags were made in association with The Eventer, a small business I have a professional relationship with that sells a wide range of items that can be customized to the clients needs.

 

In this case, multiple logos were featured on flash drives, koozies, mugs, post-its, and pens. Even the bags themselves were custom designed and packaged by myself. 

 

I choose all the marketing photos that would be enlarged and placed around the room. Working closely with the private marketing firm the company had previously hired. I displayed these around the tent on easels. 

 

The tent was crucial as the event was held on the grounds of the Superior Fabrication's site. The tent I choose was 100x40ft. in diameter. I designed the seating arrangement for half presentation style, and half eating areas.

 

I further choose carpeting to give the tent a more formal feel rather than asphalt. I also decided on several swap coolers rather than expensive air conditioning units.

 

This required a great deal of communication between myself and the Big Top Events representative who provided the party rentals and the site manager for my company. I facilitated several meeting between them.

 

I ordered and managed all of the necessary audio visual equipment and worked with the IT department to make sure all the presentations ran smoothly for the event. This required run-throughs and rolling event times that were very closely scheduled by myself. 

 

The catering was outsourced but all menus and food choices were made by myself.
